Snowbird Season, Sooner Than You Think: Getting Ahead of the Fall Checklist

Every September, I get a version of the same phone call. This year it was from Carol, who lives with her husband Jim in On Top of the World, in the little villa they bought six years ago for exactly this season of life — winters in Ocala, summers near their daughter in Asheville. “I know it’s early,” Carol said, “but I keep dreaming about the AC breaking while we’re gone.”

It’s never actually early. And Carol and Jim are exactly the kind of clients who taught me that the families who handle this transition with the least stress aren’t the ones with the most free time. They’re the ones who start planning in September instead of waiting until the moving truck up north is already half-packed.

Two Homes, One Calendar

Jim and Carol split their year the way so many of my clients do, and every fall and spring they face the same two-sided question: how do you close up a house you love and trust it will still be standing exactly as you left it, and how do you walk back into that same house after months away and have it feel like home again by dinner?

For Jim and Carol, that meant a plan built around their actual life, not a generic checklist. Before they left for Asheville this spring, I scheduled their HVAC service so the villa wouldn’t sit in Florida humidity with a system nobody had checked. I arranged for their lawn and irrigation to be maintained on a schedule that matched On Top of the World’s community standards, set their mail on hold, and put together a recurring home watch visit — every two weeks, someone walking the property, checking for water intrusion, confirming the AC was holding temperature, making sure nothing had been left running.

Halfway through the summer, that home watch visit caught a slow leak under the kitchen sink. Not a dramatic flood — just a small, steady drip that would have quietly ruined the cabinet and the flooring beneath it by November. Because someone was in that house on a schedule, it was a fifteen-minute fix instead of a fall homecoming spent tearing out cabinetry.

Coming Home Should Feel Like Coming Home

Now Jim and Carol are getting ready to come back. This is the return side of the checklist, and it’s just as easy to underestimate. I’ve scheduled a full professional cleaning for the week before they land, arranged pest control and a final AC check ahead of Florida’s humidity, and I’m restocking their pantry and refrigerator so their first night back is a glass of wine on the lanai, not a run to Publix. I booked Carol’s dermatology appointment and Jim’s annual physical for their first week home, before those calendars fill up the way they do every October. And I’ll do a full walkthrough of the villa before they arrive, so if anything needs attention, it’s handled before they ever notice. That’s really the heart of it: someone who knows what “normal” looks like for their specific home, catching the small things before they become the big things.

What This Looks Like for Your Home

If you’re a part-time resident of Ocala or Marion County — whether you’re in On Top of the World, On Top of the World’s neighboring communities, or anywhere in between — the version of this plan built for your home might include:

  • Pre-departure or pre-arrival HVAC and irrigation service
  • Recurring home watch visits with a full interior and exterior walkthrough
  • Mail holds, package management, and exterior lighting on timers
  • Landscaping coordination that matches your community’s standards
  • A pre-arrival deep clean, pantry restock, and utilities check
  • Vendor and appointment scheduling so your first weeks home aren’t spent on hold

Waiting until the week before a flight means competing with every other seasonal resident for the same technicians and cleaning crews. Starting now means your home gets attention on your schedule, not whoever’s left.

If your calendar is already circling a departure or return date, let’s build your plan the way I built Jim and Carol’s — before the good vendors are booked, and before “I know it’s early” turns into “I wish I’d called sooner.”

Premier Concierge Care provides white-glove home watch, seasonal transition management, and vendor coordination for part-time residents and retirees throughout Ocala and Marion County. Reach out to build your fall plan before the season fills up.
